New Hire/Rehire PAF

A New Hire action creates an employee's record in the SAP database for the first time and assigns the employee a unique SAP Personnel Number.

  • A New Hire is defined as a new employee who has never before worked for any organizational unit on any NU campus. A former employee who already has an SAP Personnel Number will always be a "Rehire" rather than a New Hire, no matter how long the separation has been or for which department or NU campus the prior work was done.
  • Prior to beginning a New Hire PAF, always search SAP for an existing employee record using a Social Security number and name search to determine if someone "new" to your department is also new to SAP. This critical step prevents the duplication of records for an individual.

A Rehire action is used to rehire employees who have had a break in service from any NU campus.

A Rehire action is also used to move an employee from an unpaid position to a paid position. A separation action is completed on the unpaid position, followed by a rehire action to move the employee into the paid position. The rehire action cannot be completed using the ePAF via Firefly -- it must be completed using the fillable pdf PAF.

Exclusions from New Hire/Rehire Process

  • Affiliate and volunteers must be entered into SAP using an Affiliate/Volunteer PAF.
  • For the Transfer In of an employee from another campus, please contact Payroll Services.
