See UNL’s Family/Medical Leave policy. Each Business Center should have a dedicated staff member for handling time tracking for Family Medical Leave (FML). Larger departments may benefit from also keeping an internal tracking sheet for FML time.

When auditing payroll, the time coordinator must contact an employee’s supervisor if an employee is gone for four or more consecutive days, is using an unusually high amount of leave, or is requesting intermittent leave (for health appointments, caring for an immediate family member, etc.). When an employee is absent due to an approved family/medical leave, the time coordinator, HR coordinator, and/or the employee’s supervisor must work closely together throughout the duration of the absence through the employee’s return to work to ensure the approved FML dates coincide with the employee’s FML coded time entries.

Time Entry

Leave (SCK, VAC, FNL, FLH, or UNPL) entered during an FML-approved absence must have a comment of “FML” added to the time entry. This is done for BW employees via ESS Time or for MO via ESS Leave. If the employee fails to enter the comment, the time coordinator must add the comments via CATS. If an employee is incapacitated and unable to enter the time, the time coordinator must enter the hours with the appropriate absence type, along with the “FML” comment, via CATS. They must ensure that proper documentation supporting the entries on behalf of the employee is obtained and retained within the department. The “FML” comments appear on the CATS_DA report for ease of tracking.
