CATS is in SAP and used by time coordinators to complete various edits as it relates to employee time and leave. SAP has a separate menu for CATS than the standard SAP menu, however, security for CATS is the same as regular SAP Time Entry. If an SAP user has access to the Maintain Time Data (PA61) transaction, that user will also have access to CATS.
While it should be rare, a time coordinator may need to enter, delete, or change time for an employee due to varying circumstances. A few examples are listed below, however, there may be others. Written permission from both the supervisor and the employee must be obtained and retained within the department.
Examples:
- Employee or supervisor not available to release or approve time
- BW employee needs to delete leave that has already been approved by supervisor
- CME was approved by supervisor but it should be coded as REG time
- UNPL related to FML for BW or MO
- Position number changed after time was entered and approved
Resolving Common Error Messages in CATS
An error message occurs in CATS when the system finds an issue with something that was entered. Soft warnings will notify you but not prevent you from continuing. Hard warnings are conflicts that the system has with the data you have entered and will prevent you from continuing until the issue is resolved.
"Enter data for payroll past (retroactive accounting)": This soft warning means that time is being entered in a pay period that has already been processed. Pressing ENTER through these warnings will allow you to proceed and save.
"000##### not designated as work study. Change Attendance type to Non-work study.": This hard warning means the position entered is not set up as a work study position. There are two possible solutions:
- If it's the correct position number, email unlbudget@unl.edu and provide the position number that needs to be set up as a work study position
- Enter the correct position if you have the wrong position or no position is entered
"XX-XXXX-XXX Not found on table ZSWS_Funding. Correct or upate funding table.": This hard warning means the cost center or WBS you have used is not set up on the work study table. Email payroll@unl.edu and provide the cost object and ask that it be added to the work study table.
“Cost Center 1000/XX... Does not exist on MM/DD/YYYY": This hard warning means that the cost center is not in IT9027 on the specified date. Correct the cost object.
“Collision of Time Infotypes”: This hard warning means that entries were made for the same date and time on multiple lines. Double check the entries and make necessary adjustments.
