Time and Leave Entry Methods and Resources

Time coordinators must be familiar with and able to adequately train new employees on the available methods for time to be entered and leave to be requested. The preferred method for BW employees to enter time and leave is Employee Self Service (ESS) Time. The preferred method for MO employees to enter leave is Employee Self Service (ESS) Leave. The Cross Application Time System (CATS) in SAP is used by time coordinators to complete various tasks as it relates to employee time and leave.

When entries in ESS Time or ESS Leave are approved and/or entries or edits in CATS are saved, they are immediately processed into SAP PA61 (Maintain Time Data). On the “First Run” of each BW and MO pay period, the time and leave entries in PA61 go through a Time Evaluation process. The Time Evaluation process ensures all entries are valid prior to the final run that will produce an employee’s paycheck. A correction run occurs each night after the “First Run”, up until the “Red Day” of each BW and MO pay period. Only records that have changed since the “First Run” go through a correction run. Payroll runs are scheduled, along with other jobs, by the machine operators. There is no set time that the payroll runs each evening. To ensure that changes made are included in the run, do not work on records beyond 5:30 p.m. CST. When working on an individual’s record, the record is locked. If payroll is running, locked records are skipped, and no new results will generate the next day for that record. If a record is locked on the final day, it could potentially stop the entire University payroll. On the “Red Day”, all entries go through a final Time Evaluation process to finalize payroll records for the pay period.
